Health Information Management Front Desk Specialist - Temporary

Clackamas Health Centers, Health Information Management (HIM) team, is looking for a friendly person to provide support for our team and customers. This role is for someone who enjoys communicating with and helping people, ensuring accuracy, and understands the tiniest of details can leave a great impact. This is a hybrid position, working in office 50% of the time, after a minimum of 30 days in office and competencies are met.

Role & Responsibilities

Manage HIM email and phone lines, supporting multiple lines of service for the Health Centers. Analyze, organize, and ensure accuracy of incoming health records received for processing. Evaluate complex medical records to determine what the document is and what should be done with the document.

Provide assistance and information to staff, patients, and third parties such as other clinics, insurance companies, government agencies and law firms; via phone and email. Explain how to obtain records. Provide status on record requests. Provide timeframe for when requested records are expected to be received.

Must possess or acquire basic understanding of Federal rules and OARs as they pertain to patient privacy rights. 

Minimum Qualifications

A minimum of 1 year of related experience that would provide the required knowledge and skills to perform the responsibilities of this position.

  • Customer service; professional verbal and written communication skills.
  • Ability to capture, retain, and organize detailed information.
  • Ability to multi-task; prioritize and independently solve problems.
  • Knowledge of medical terminology.
  • Ability to read and identify medical records and determine actions to be taken.
  • Experience using Epic (or similar electronic medical record), Outlook and Adobe.
  • Experience doing basic data entry into an electronic health record.
  • Experience managing outlook, downloading documents and responding to emails.

Preferred Qualifications

  • Experience using a cloud-based phone system to answer calls, place calls on hold, transfer calls, listen to voice messages and return calls.
  • Experience using Epic.
  • Ability to follow the Epic Indexing Rules for medical record organization.
  • Ability to use Epic to search and update patient information.
  • Ability to use the Epic ROI module to enter and search status of patient record requests.
  • Use of Adobe Pro to edit documents.
  • Experience sending and receiving E-Sign documents
  • Ability to read and understand legal documents such as power of attorney, guardianship, custody, advanced directives

Schedule

Monday to Friday, 7 hours each day, between the hours of 8 a.m. – 5 p.m.
